Document Management

Trucking is a paperwork business that pretends it isn't. Every load generates a stack of documents — ratecon, BOL, lumper receipt, weight ticket, photos of seals, sometimes more — and every broker has different requirements for what gets submitted, when, and through which portal. We route everything for you.

What we handle.

Document Management is included in every driver's dispatch — no separate charge, no upcharge tier. Below is exactly what's covered.

What's covered

  • Send ratecons through your preferred channel (email or text — your choice at onboarding) before pickup
  • Confirm BOL receipt at pickup — photo from the shipper, stored to your file in our system
  • Submit BOL + ratecon + accessorials to the broker the same day a load delivers
  • Maintain your standing broker packet (W-9, COI, NOA, MC/DOT certificates) — we re-send when brokers ask, you don't
  • Track lumper receipts, scale tickets, and seal photos so claims have evidence
  • File your DOT-required driver qualification file annually (driver application, MVR, drug test results, road test)

The split — what stays your job, what becomes ours.

We do not handle anything you legally have to sign personally — that means HOS logs (the ELD does that), drug-test cups, vehicle inspection reports, and your initials on the BOL at pickup and delivery. Those are yours, always.

Everything else is ours. The ratecon negotiation, the broker-packet PDF, the COI request from your insurer when a broker wants a new one, the W-9 they need before they'll cut a check, the NOA your factor wants on file, the lumper receipt from the warehouse, the photo of the seal at delivery — we route, store, and deliver all of it.

The volume is what owner-ops underestimate. A driver running 4 loads/week generates roughly 16–24 documents per week across all formats. Over 50 weeks that's 800+ documents. We've built our own internal document system around this — every doc is searchable by load, broker, and date, and we keep originals for 4 years (DOT minimum is 3, we keep an extra year for audit comfort).

Common questions.

Do you have a driver portal?
Currently no — dispatch happens by phone and text. Documents go through email or text per your preference. A web portal is on our roadmap; we want to nail dispatch before adding tooling.
How long do you keep my documents?
4 years — one more than DOT minimum. After that, we ask you whether to delete or send you a zip of everything.
Can I get all my settlement records at once?
Yes. Email us and we'll send a CSV of every load + payment within 48 hours.
What if a broker disputes a delivery?
Our document trail is your defense. BOL, photos, accessorials — we hand the package to your broker (or to the broker's bond carrier if it goes to claim). Recovery rate on disputed deliveries is 95%+ for our drivers.
